  1. Vouchers are distributed to eligible individuals through local councils and referral charities.
  2. Recipients use their vouchers at local businesses, applying them towards their purchase.
  3. Businesses submit the voucher serial number into our secure online system for validation and reimbursement.

How to Accept and Process Vouchers

Acceptance

  • Recognition: Ensure staff members are familiar with the appearance of City Food Share vouchers.
  • Validation: Check the validity of the voucher by verifying the security foil on the back of the voucher.

Processing:

  • Transaction: Treat the voucher as a form of payment. Deduct the voucher value from the total bill.

Reimbursement:

  • Online Submission: At the end of each calendar month, submit the compiled voucher codes through our online portal.
  • Verification: City Food Share will verify the submitted voucher codes to ensure they match our records.
  • Reimbursement Payment: Once verified, we will process your reimbursement. Payments will be made at the end of the calendar month

How do we recognise a valid City Food Share voucher?

Valid vouchers will have specific security features such as a unique code, a security foil and the City Food Share logo. Ensure staff are trained to recognise these features.

What should we do if a voucher appears to be tampered with or expired?

Politely inform the customer that the voucher cannot be accepted. Contact the City Food Share team for further assistance if needed.

How often do we need to submit vouchers for reimbursement?

Vouchers should be submitted by the 5th of each month to ensure timely reimbursement.

How will we receive reimbursement for the vouchers?

Reimbursements will be processed by the 15th of each month and will be deposited directly into your designated bank account.

Are there any costs associated with participating in the voucher programme?

No, there are no costs for businesses to participate in the City Food Share voucher programme.
